Before you start thinking about hiring a consultant, it is extremely important that the practice understands that my system and tools will be ineffective if the practice is not COMMITTED to working with the OD population. No matter how many tools I offer you to grow the OD market, my efforts, and ultimately your dollars, will be wasted if you sell their referrals sunglasses after surgery, fail to communicate shared patient information, or de-value the OD.

My goal is to not only increase your referrals by establishing simple tools to make your patient flow more efficient, but to create a system that will develop OD confidence in your practice when referring you their hard earned patients.


OD Consulting Fees

Hourly consulting rate – $150 per hour

Monthly consulting rate (unlimited phone / email access for questions, advice, staff training, etc.) – $2,500 mo. Once the practice is established and program is running successfully, the fee would be an hourly rate based on need. It’s important to know that your program should be up and running with minimal assistance within one to two months.

Per day on site visit – $1,500 per day plus travel and expenses

Hosting visiting practice at Clear Advantage / Eyesight Ophthalmic – $1,200 per day

  • Our staff and doctor will be available to discuss clinical side of practice and you may walk through evaluation / surgery / follow up procedures to understand flow of practice and how OD comanagement plays into the process.

CE Training

The number one reason that OD’s may not refer to you, is because they don’t KNOW you. The second reason that OD’s don’t refer, is that they simply don’t understand the technology available today. Some are old school and only remember the days of RK, non-astigmatic correction and unproven results. As a certified COPE Administrator, I can not only assist in the development of various OD seminars, but I can submit them to ARBO for approval and help your staff organize the event. It is ideal, however, to have a member of your staff, or you, become an ARBO administrator. Once there is an administrator on staff, he/she can submit courses on their own.

The following are a small sample OD seminars that can be developed and are well attended.

  • Oculoplastics
  • LASIK technology (PRK vs Microkeratome vs Bladeless and laser types (AMO, Technolas, Zeiss, etc.)
  • Comanagement – LASIK and/or Cataract
  • Glaucoma
  • Visian ICL
  • IOL’s

With most of the CE programs, an invitation to attend by one of the sales reps can reduce the cost. i.e. Have a representative from Staar at a Visian ICL meeting and they can generally assist with some of the costs.

Subject material ideas can be included, but the content is based on the technology and specialty of the surgeon. If an outside MD is brought in for the seminar, the cost for their services is not included in the price.

Grand Rounds LASIK Program - $2,000

Grand Rounds LASIK Program – $2,000

  1. This is a 7 credit program that involves the OD coming to the practice. The program is broken into 3 categories and although it is recommended to take the course in sequence, the OD should have the option to pick dates / times based on their availability as well as the ability of the refractive center to host the OD:
  • Pre-Operative Assessment – 3 hours
  • Surgery Day – 2 hours
  • Post-operative – 1-day findings – 2 hours

 

  • Two (2) hour OD seminar ideas (usually run off site after hours):
    • Oculoplastics – $500
    • Premium IOL’s and Cataract Surgery – $500
    • Visian ICL – $500
    • Co-Management – $500
    • LASIK – custom, bladeless, LASEK, PRK, etc. – $500
    • Working with practice to develop new 2 hour seminar – $750

 

Additional costs

ARBO charges $145 for the first hour and $75 for each additional hour to register the course. The course is certified for 3 years.

In addition, the charge is $55 per hour for the actual event. For example, you could get a 2 hour LASIK seminar approved ($145 + $75) = $220 and run it as often as you want for 3 years, but every time you offer the program, you pay $110 ($55 + $55)

Organizing the Event

Sending out notification, securing a location and arranging event (i.e. food, AV equipment, etc.). $150 per hour, plus hotel / meeting facility fees and printing/mailing costs. Unless you have a facility that can accommodate 50+ OD’s and have dining, I highly recommend holding seminars away from the refractive surgery center and proving a meal for the OD (with the exception of Grand Rounds). The only thing an OD likes better than CE credits is a free meal.

OD Database

 

OD DATABASE – $500 to $2,000 (depending on complexity and need)

This portion is included only for practices who do not utilize MDprospects by Glacial Multimedia. If you have MDprospects, you should contact Michael Dobkowski to add this to your existing platform. MDprospects would be my first choice in establishing an OD database.

The most important part of any OD program is to know who your area OD’s are. Do you have an existing database? How is it managed? Is it up to date? This can be better priced once I understand what you have in place. What I do from start to finish (assuming you have nothing in place):

Again, I will tell you that MDprospects offers something that, in the long run, is significantly more affordable and ultimately more trackable that what is mentioned here:

What I will do:

  1. Provide a list of all licensed optometrists in your state. This usually includes name, address, license number and frequently an email address.
  2. Merge data into existing database (if a database already exists). Remove duplicates from any existing data your practice already has.
  3. If you don’t have MD Prospects, I recommend a simple to use CRM database called Maximizer. (www.Maximizer.com) If you have a different database that can be utilized, we can usually work with that database.
  4. Train staff on Maximizer (if applicable). Maximizer has the capability to mass email, create web forms, mailing lists, letters and tasks. Maximizer is completely customizable, meaning you can create user defined fields based on what you want to track – i.e. comanagement status, patients referred, fees paid, etc. The cost of this database is a flat $300, I would install it into your computer and you would own it.
Staff Training - $500 - $2,000

Staff Training – $500 – $2,000 per month depending on complexity and need – (price based on off-site training per month)

  1. 1. Redesign intake form to educate patients on your willingness / desire to share care with their OD
  2. Design comanagement welcome package for potential new OD’s to include:
    • Pricing sheets, post-operative info, informed consent, etc. (some forms may already be used in the office, I would be repackaging it)
    • OD / MD follow up forms
    • Designing marketing materials that can be used at referring OD office.
  3. Templates:
    • Follow up letter templates that you can use to thank OD’s for their patients.
    • Comanagement consent form to be signed by patient and sent to OD with their comanagement fee.
    • Introduction templates for a potential new OD.
    • Follow up forms that should be sent to the referring OD 1-day post op to keep track of patients, payments and post-operative care.
  4. Staff training:
    • Effective ways for staff to educate new patients on returning to their OD.
    • Tools to help identify a patient whose regular eye doctor is part of your comanagement program or a patient who desires to have their follow up with their existing OD / potential new comanaging partner.
    • Developing ways for your OD to outreach to existing or potential referring OD’s. This includes a system of taking OD’s to lunch on a quarterly basis and establishing a basis of discussions during those meetings.

If hired to travel to the practice, the per day rate would cover the costs associated with staff training and templates. If applicable, I would perform database installation and/or migration of OD data (if necessary) at the price listed above.
